How to send emails to your users

What does it do?

The email tool allows you to send targeted emails to your users. You can select users by event (season/tournament) or team, for instance, or simply message everyone. You also have the option to filter recipients by role on their team (player/captain/coach) or by gender – e.g. to message all the women in your organization about coed teams looking for players.

Where is it?

You'll find the email tool under Messages in the left-hand navigation.

Setting up an email

Click the New Email button.

This will open a brand new email draft.

First, you have the option of loading a previous email as a starting point by clicking the Use existing draft as template dropdown.

Next, you have your recipient group selection. To start selecting recipients, click the Add Recipient Group button.

You'll see buttons to email certain broad categories, some of which will have further options to narrow down your selection.

  • Everyone – selects all of your users, without any filters

  • Players, captains & coaches – let's you select players based on active/inactive status (whether they're currently registered for a season or not), or by affiliation with specific events (seasons/tournaments), teams, or free agent pools.

  • Score Keepers, referees & admins – let's you select which of these types of users to email.

  • Enter manually – let's you select individual users or enter email addresses manually.

The email tool sends individual emails to each user, so recipients will not be able to see who else received the email.

Example: Emailing all users in a particular tournament/season

  1. Click Add Recipient Group

  2. Click Players, Captains & Coaches

  3. Click Events

  4. Type part of the name of the event into the search box

  5. Click the correct event in the results dropdown

  6. This adds a grey label with the name of the event below the search box; you may repeat steps 4 and 5 to add multiple events.

  7. You may modify the user filters in order to only message coaches, for instance.

  8. Click the green add recipient group button to add this group to your email draft.

Example: Emailing all players registered for a specific Free Agent Pool

  1. Click Add Recipient Group

  2. Click Players, Captains & Coaches

  3. Click Free Agent Pools

  4. Type part of the name of the free agent pool or season into the search box

  5. Click the correct pool in the results dropdown

  6. This adds a grey label with the name of the pool below the search box; you may repeat steps 4 and 5 to add multiple pools.

  7. Click the green add recipient group button to add this group to your email draft.
